Gold Order Handoff Checklist: Catch Missing Details Before Production

Use a structured pre-production handoff to confirm that an order has the customer approval, design information, commercial details, material requirements, deadlines and special instructions the workshop actually needs before work begins.

Primary intent: verify gold jewellery order readiness before production handoff.

Why sales-to-production handoff needs its own control

A production job can be technically simple and still fail operationally because one commercial or customer detail never reached the workshop. A sales conversation may contain the final ring size, a special finish, a promised date, a specific gold alloy, customer-supplied stones or a design correction. If those details remain in a private message or memory, production can start from incomplete information.

The purpose of this checklist is therefore not to create a technical manufacturing specification. It is to create an explicit handoff gate: the sales side confirms that the information required by the next stage has been gathered and communicated.

What “production-ready” should mean

A production-ready order should have a clear identity, an approved commercial basis, sufficiently complete product specifications, visible special instructions, and a realistic timing requirement. The exact documentation will vary between businesses and product types.

Important distinction: a 100% checklist score means every item on this page has been marked. It does not prove that the underlying information is correct or technically manufacturable. A workshop still needs to review the actual job documentation.

When the checklist should be used

  • Before a custom jewellery order is released to the workshop.
  • When a quotation becomes an approved production order.
  • When an order changes after customer approval.
  • When multiple people share sales and production responsibilities.
  • When urgent jobs are being moved through the workshop quickly.

Common handoff failures

  • The production team receives an old quotation after the customer approved a revision.
  • A requested completion date exists only in a chat conversation.
  • The gold purity or alloy requirement is assumed rather than stated.
  • A customer-supplied stone is mentioned but nobody confirms who is responsible for it.
  • A special finish is verbally promised but not included in the job information.

How to handle incomplete handoffs

An incomplete checklist does not always mean an order should be cancelled. It means the missing item should be consciously resolved before production relies on the handoff. For example, if a stone specification is still pending, the correct status may be “awaiting stone approval” rather than pretending the job is fully ready.

Privacy and storage

The saved checklist remains in the current browser using localStorage. Do not treat this as the official production record if your business has an ERP, job-card system or controlled document process.

Methodology

Readiness is a simple completion ratio: checked items ÷ total checklist items × 100. The percentage is intentionally descriptive. It is not a statistical probability that the order will be completed successfully.

Frequently asked questions

What is a gold order handoff checklist?

It is a structured pre-production checklist used to confirm that important commercial, customer, design, material, production and delivery information is ready before an order is handed to the workshop.

Why use a separate handoff checklist?

Sales information can be distributed across messages, quotations and conversations. A handoff checklist creates one explicit confirmation point before production begins.

Does this checklist replace production specifications?

No. It is a readiness control. Technical drawings, approved specifications, job cards and other production documents remain the authoritative technical records.
