Antique Collection Accession Number Scheme Builder
Create a repeatable identifier format for antique and vintage collections, generate a batch of labels, and flag IDs that already appear in your existing list. Keep a stable object number separate from changing descriptions, locations, values, and ownership notes.
Build an identifier pattern
Choose a short collection prefix and optional year. The sequence is padded to the selected width; punctuation is kept exactly as entered. Generated IDs stay in this browser unless you export them.
Your generated accession IDs will appear here.
Make a numbering system that lasts
Accession numbers work best as stable identifiers. Treat them as labels for records, not as miniature descriptions: an object’s attribution, location, condition, valuation, or owner can change while its identifier should remain constant. Before adopting a pattern, check the organization’s collections policy and any existing register.
Simple format choices
- Prefix: distinguish a collection or department without encoding a person’s private details.
- Year: optional; useful when it marks the registration year, but not as an estimated manufacture date.
- Sequence: unique, monotonically assigned, and padded consistently for sorting.
- Components: use a suffix only when your cataloging policy defines how parts relate to a parent object.
For example, FAM-2026-0042 can represent an object assigned to a “FAM” collection in the 2026 registration sequence. Record the rule in your catalog documentation so future staff do not reinterpret it.
Frequently asked questions
Should the accession number include the object’s age or maker?
Usually no. Age and maker attribution can be uncertain or revised. Keep descriptive facts in their own fields so updates do not require changing an object’s permanent ID.
Can this tool check an entire collection register?
It compares generated IDs with text you paste into the existing-ID box. The list is processed in your browser only. For a large collection database, use its built-in uniqueness validation and back up records before any bulk import.
What does a duplicate warning mean?
It means a proposed ID matches a line or comma-separated value in the list you supplied, without regard to letter case or surrounding spaces. Check your source register before assigning any number.
Does this create a formal museum accession record?
No. It creates candidate identifiers and a downloadable list. Follow your institution’s accession policy, documentation standard, approval process, and record-retention rules.
