GemsMakers Wedding Tool

Wedding Catering Staff-to-Guest Ratio Calculator

This tool is deliberately a rough planning estimator for the conversation with a caterer. It does not claim there is one correct wedding-staffing ratio. The right number changes with buffet stations, table service, bar format, menu complexity, venue layout, and how hands-on the service should feel.

How this works

Service staff are estimated from a style-and-service-level ratio. Bar staff are added separately when selected. A lead/captain allowance is then added based on guest count, courses, and high-touch service.

Worked examples

Buffet

For 100 guests at Standard buffet service with no bar, the service ratio starts at 25 guests per staff member, or four service staff.

Plated

For 150 guests at Standard plated service with two courses and bar service, the planner estimates 13 service staff, 2 bar staff, and 2 lead/captain staff.

Formal plated dinner

For 200 guests at High-touch plated service with three courses and bar, the service ratio is tighter and the lead allowance increases for complexity.

Common mistakes

Limits of the estimate

Your caterer’s staffing model and contract should take precedence. Some teams include captains or runners inside their quoted staffing count, while others separate them. Local labor rules and venue requirements may also affect staffing.

Frequently asked questions

How many servers do I need for a wedding?

Start with guest count and service style, then adjust for courses, bar service, and service level.

What is a good wedding catering staff-to-guest ratio?

There is no single universal ratio; staffing depends on menu, service style, venue, and service level.

How many servers for a plated wedding dinner?

Plated service generally needs a tighter guest-to-staff ratio than a simple buffet, but the exact plan is vendor-specific.

Does a wedding bar need separate staff?

Often yes when beverage service is included, but staffing depends on how the bar is operated.

Do three-course weddings need more staff?

They can, because additional course handling increases service complexity; this tool adds a small planning allowance.
