How to use this planner

Start with the institution and proposed dates, then mark each item only when you have verified it with the relevant party. Use the notes to capture who will provide a document and by when. Export or print a copy for discussion.

Planning boundary

This is an organizer, not a loan agreement, insurance certificate, conservation assessment or acceptance decision. The borrower and lender should confirm requirements in writing with their qualified collections, legal and insurance contacts.

Readiness checklist

A checked item means it has been confirmed or assigned—not simply considered.

What a useful loan file records

A practical file separates object facts from proposed arrangements. Keep the current inventory reference and description together with dated condition images, prior treatment or movement records, and source documentation. Record which party is responsible for each action and preserve the final written versions of the facility report, transport instructions, insurance evidence, and loan terms.

Common planning topics include display duration, environmental limits set by the responsible conservator, light exposure, security, emergency contacts, courier or handling arrangements, packaging requirements, insurance values and coverage dates, photography permissions, credit lines, and return inspection. Requirements vary by institution and object; this checklist prompts a conversation rather than setting universal standards.
